How to Collect Participant Preferences

Learn how to set up a form field in Sawyer that asks each registrant for their own preference, such as a t-shirt size, during event sign-up.

Written by Shaney Thrasher

📝 Overview

Learn how to collect a separate t-shirt size, or any other preference, from each child or adult registering for your program.

When you offer items like t-shirts, snacks, or art kits, a single answer from the parent won’t tell you what each child needs. A form field lets you ask each registrant the question during sign-up, so you get one answer per child and can order the right items without following up with families.

🛠️ Setting Up the Field

Learn how to create the field, choose who answers it, and decide whether registrants must respond before checkout. In this scenario we're going to set this up to collect shirt sizes.

  1. Log into your Sawyer portal.

  2. Navigate to Listings, then select Form Fields.

  3. Click Get Started in the center of the page if this is your first field. Otherwise, click the New Field button in the upper right corner.

  4. Select Multiple Choice as the field type. Registrants choose one option using radio buttons.

  5. Enter a Field Title that asks the question, such as “What size t-shirt would you like?”

  6. Enter each size as an answer option, such as Small, Medium, and Large.

  7. Under who should answer, select Participant so each registrant gets their own response.

  8. Under Ask at Checkout, choose one of the following options:

    • Yes - Required if every registrant must choose a size before checkout

    • Yes - Not Required if they can skip it.

  9. Under Allow Editing, select whether registrants can change their answer later from their profile, or whether the answer is locked once submitted.

  10. Under activities, select All Activities to apply the field everywhere, or Select Activities to choose the specific events that need it.

  11. Review the preview at the bottom of the page, then click Save.

🔧 Offering the Item for Purchase

Set up an Add-On with a generic name, such as “T-Shirt,” and create the custom form field to collect the shirt size. This keeps your add-on list simple and avoids a separate add-on for every size.
