How to Register Adults

Enable adult registrations on activities, register adults as staff using Add Participant or New Order, and understand the customer booking experience for adult and mixed-age classes.

📝 Overview

Your software now allows adults to register for activities alongside children. This means you can create adult-only classes, mixed-age classes (where adults and children attend together), or keep classes for children only.

To make the most of adult registrations, it helps to understand some key terminology you'll see throughout the system.

Key Terminology

  • Client: The primary account holder associated with an email address. A client is the main profile that can have multiple adults and/or children attached to it. Clients can register for adult or mixed-age activities.

  • Adult: An additional account profile for anyone over the age of 18, created under a client's primary account. Adults can only register for adult or mixed-age activities.

  • Child: An account profile for anyone under the age of 18, created under a client's primary account. Children can register for child-only or mixed-age activities.

  • Participant: Anyone (client, adult, or child) being registered for an activity.

💡 Why this matters: When you register someone for a class, you may be registering a client, or you may be adding an adult or child to that client's account.

Understanding this distinction helps you organize your customer base and offer flexible registration options.

Registration Combinations

Depending on how you set up your activities, you can support:

  • Adults only: Client + Adult Participants

  • Mixed ages: Client + Adult Participants + Child Participants (all at once)

  • Children only: Child Participants only


🛠️ Setup: Enable Adult Registration on Activities

Before customers can register adults, you'll need to configure each activity to allow adult registrations.

  1. Go to Listings

  2. Create a new activity or Edit an existing one

  3. Under activity details, find the "Who can register?" section

  4. Choose one of these options:

    • Adults only (18+) — Only adults and clients can register for this activity

    • Mixed Ages (Adults + Children) — Both adults and children can register together

    • Children only — Only children can register

  5. Scroll to the bottom of the page and click Save. Once saved, that activity will allow the registration type you selected.

💡 Tip: If you're offering memberships, there's a separate "Adult Memberships" setting in your General Settings that lets you display generic membership language for adult customers. Check that setting if you're offering adult membership options.


Add Participant: Register Without Charging

Use Add Participant when you want to add an adult to a class roster without creating an order or charging them. This is ideal for free trials, walk-ins, or participants attending for free.

  1. Go to the Upcoming tab

  2. Click into an adult-only or mixed-age class roster

  3. Look for the "Add Participant" button in the top right corner

  4. A dialog will appear asking you to select a participant

    • To add an existing customer: Type their name or email in the search field. You'll see all clients and adults matching that search. Click the person you want to add.

    • To add someone new: Click + Add New Client. You'll be asked to enter their full name and email address, then choose:

      • Client — You're creating a new primary profile. This person becomes a client in your contact list.

      • Adult — You're creating a new client AND adding an additional adult to their account (for families or group accounts).

  5. Once you've selected or created the participant, click Book (or Add to Waitlist if applicable)

  6. They'll immediately appear on the class roster — no charge processed, no order created. Use Add Participant for free trials, walk-ins, or any situation where payment isn't involved.


🆕 New Order: Register and Charge

Use New Order when you're placing an order on behalf of a customer. This creates an order number, processes payment, and adds the customer(s) to the class roster all at once.

New Order works for both adult-only and mixed-age classes. Here's how each scenario works:

Scenario 1: Adult-Only Class

  1. Go to the Upcoming tab

  2. Click into an adult-only class

  3. Click + New Order in the top right

  4. A registration page will open. You'll see two options:

    • Select Participant — Choose from clients or adults already in your contact list

    • + Add New Client — Create a new client profile

  5. Once you've selected your first adult, you'll see their name in the "Who is attending?" section

  6. To add another adult to the same order:

    • Look for the option to add another adult on the same client's account, OR

    • Click + Add Participant to add someone new to the order

  7. You can also add optional add-ons (if available). These will be charged to each participant.

  8. Choose a payment method

  9. Review the order summary to confirm all details

  10. Click Place Order. The order is now complete — you've created an order number, charged the customer, and added all participants to the roster.


Scenario 2: Mixed-Age Class (Adults + Children)

  1. Go to the Upcoming tab

  2. Click into a mixed-age class

  3. Click + New Order in the top right

  4. You can add new client or search for an existing one.

  5. Once you've selected your first participant, you'll see their name in "Who is attending?"

  6. Add additional participants:

    • Click the "Who is attending?" field to add another adult or child from the same account

    • Click + Add Participant to create new participants not yet in your system

  7. Fill in details for any new participants (name, age/birthday)

  8. Add optional add-ons if available (charged per participant)

  9. Choose a payment method

  10. Review the order summary

  11. Click Place Order

⚠️ Clients cannot register themselves in staff tools. You'll need to set up form field questions that ask for the client's information separately. This way, when customers register on your website, they can provide their own details before submitting the order. See the FAQ section below for more about form fields.


🧑‍💻 Customer Booking Experience

When customers register themselves online, here's the step-by-step experience they'll have. Understanding this helps you support them if they have questions.

Adult-Only Classes

  1. Customer finds and clicks on an adult activity on your website

  2. They click "Book" or "Register Now"

  3. The booking form opens. Their name is pre-filled in the "Who is attending?" field (as the client)

  4. To add another adult, they click + Add Participant in red text

  5. A dialog appears asking for the additional adult's full name and birthday (birthday is optional for adults)

  6. After entering the name, that adult appears in the "Who is attending?" list

  7. They can continue adding more adults by clicking + Add Participant again

  8. They review any optional add-ons (these are charged per participant if selected)

  9. They answer any form field questions displayed (questions are asked for each participant separately)

  10. They select their payment method

  11. They review the final order summary showing all participants and costs

  12. They click Complete Registration or Place Order

Mixed-Age Classes (Adults + Children)

💡 Form field questions are asked per participant, not once for everyone. If the client is also participating in the activity, they won't automatically be included in participant questions. You'll need to set up separate form field questions for the client to collect their information. For example, if you want to collect an emergency contact for everyone participating, you'd need to set up form field questions for both the "Client" and the "Participant" roles.

What's the difference between a Client and an Adult in the system?

A Client is the primary account holder (associated with an email address). An Adult is an additional person over age 18 created under that client's account. Think of it like this: the client is the "account owner," and adults are "additional family members or participants" on that account. Both can register for adult or mixed-age activities, but only the client owns the account.

Can a client register themselves for an adult activity?

In staff tools (like when you're using Add Participant or New Order), you place the order on behalf of the customer — they don't register themselves directly. However, on your website, clients can register themselves by going to the activity page and clicking "Book." The key difference: staff tools create an order that you control; website registration is customer-controlled.

What if I want to register someone who doesn't have an account yet?

When using Add Participant or New Order, click + Add New Client. Enter their full name and email address. You'll then choose whether this person is a "Client" (primary account) or "Adult" (additional person on someone else's account). Either way, you're creating a new contact in your system.

Why do I need to set up form field questions for both clients and participants?

Form field questions are asked of the role that's registering. If a client is also participating in the activity, they're considered a "participant," not just an "account holder." So if you want to collect information from everyone participating (like emergency contacts, waiver agreements, or dietary restrictions), you need to set up form field questions for both the "Client" role and the "Participant" role.

What if a customer wants to register multiple adults at once?

They can! When they're booking online, they click + Add Participant in the "Who is attending?" field and add as many adults as needed. In staff tools, you can also add multiple adults to one New Order by repeating the "add participant" step.

Can I use "Add Participant" to charge customers?

No. Add Participant adds someone to a roster without creating an order or processing payment. If you need to charge a customer, use New Order instead.

When should I use "Add Participant" vs. "New Order"?

  • Add Participant: The person is attending for free (trial, walk-in, no-charge situation)

  • New Order: You're creating an order and charging the customer

Choose based on whether you need to process payment.

What happens to optional add-ons when multiple adults register together?

Optional add-ons are charged per participant. So if two adults register and both select an add-on, the add-on cost is charged twice. The order summary will show the add-on cost broken down by participant.

Where can I find reports on adult activity registrations?

Reports specific to adult-only activities aren't included in this release. However, you can view participants and registrations in your standard roster reports. Existing report columns remain unchanged, so adults appear in the same reports as other registrations.

How do I enable "Adult Memberships" for my account?

Adult Memberships is a setting that lets you display generic membership language for adult customers on your website. You'll find this setting in your General Settings page under "Adult Memberships." Once enabled, adult customers will see membership options using adult-friendly terminology.
