If you want to charge registration fees separately from class costs, there are multiple ways to set this up. Each method has different benefits depending on your business needs — whether you want automatic charging, customer choice, one-time fees, or manual control. Review the options below to find the best fit for how your registration fees work (per student, annual, per family, etc.).


💳 Required Fee for Each Activity

Learn how to charge an automatic fee to every participant signing up for a program. Set up a required fee for each scheduled activity, which automatically charges to each participant signing up.

Pros:

  • Automatically charges to each participant signing up for the program

Cons:

  • If customers sign up for multiple programs or return later to sign up again, the fee applies each time

💎 Optional Add-On Registration Fee

Learn how to let customers choose a one-time annual registration fee when signing up. Create an optional add-on registration fee that customers choose once per year/season. We recommend naming it something like "Once per year registration fee."

Pros:

  • Customers can choose to pay this fee only once when signing up for multiple classes

Cons:

  • Customers don't have to choose the add-on, so you'll want to verify each student selected it using an Add-on Report

  • If it's a once-per-year family fee and siblings sign up for the same class with the add-on selected, the fee charges per sibling

How to set it up:

  1. Go to the Add-ons page of each scheduled activity

  2. Add an optional Add-on and name it accordingly

🏷️ Custom Fee

Pros:

  • Automatically adds the fee to each order

Cons:

  • The fee is charged once per order (so if there are siblings on one order, it's only one fee; if they place another order later, the fee applies again)

🎫 Membership as Registration Fee (Members Only)

Learn how to require customers to purchase a membership before accessing any classes. Set up a registration fee as a membership and restrict all programs to members only. This ensures customers must pay the fee first to qualify for classes.

Pros:

  • Easy to set up

  • Customers must pay the fee to sign up for classes

  • You can create multiple memberships based on your fee structure (per year, per month, per child, per family, etc.)

Cons:

  • Customers must purchase the membership and complete checkout before they can access member-only classes

  2. Then, click here to make each scheduled activity members only and select the qualifying membership


🎟️ Membership as Registration Fee (Flexible)

Learn how to offer a membership registration fee without requiring it for class signup.

Set up a registration fee as a membership without restricting classes to members only. Customers can sign up for classes and the membership at the same time, but the membership isn't mandatory.

Pros:

  • Customers can sign up for classes and purchase the membership in the same transaction (easier flow)

  • You can see a list of members to track who purchased the membership

  • You can use Quick Charge to manually add the fee to accounts that haven't purchased it

Cons:

  • Customers aren't required to purchase it, so some may skip it

How to set it up:

  1. Click here to set up a membership

  2. (Optional) Use the Company Announcement Banner in your settings to remind customers to purchase the membership

⚡ Quick Charge

Pros:

  • You control exactly who gets charged, when, and how much

  • Simple for customers since it charges directly to their card on file

Cons:

  • This is entirely manual — you manage each charge individually

In addition to registration fees, you can charge customers for add-ons and additional services on a per-activity basis. These fees are charged per child during the activity booking flow.

Overview of Activity Fee Types

  • Required fees — Automatically charged once per order of an activity. Customers cannot opt out.

  • Optional add-ons — Customers choose whether to pay (e.g., t-shirts, art kits, extra materials). Charged per order.

  • Extended services — Customers select during checkout if they need the service (e.g., early drop-off, extended day, after-school pickup). Required if selected, charged per order.


How to Add Fees to a Scheduled Activity

Follow these steps to add fees, add-ons, and extended services to an existing scheduled activity.

For Existing Activities:

  1. Navigate to Schedules, then select Semester or Camp/Event, depending on the type of scheduled activity

  2. Find the Scheduled activity timeframe and expand it using the ^ icon on the left side of the Schedule Container

  3. Locate the activity within that Schedule Container and click the pencil icon by the activity name to open the editor

  4. Select 3. Add-ons, which can be found towards the top right of the page

  5. Scroll down to review multiple options like:

    • Extended day

    • After-school pick-up

    • Early drop-off

    • Optional add-ons (custom)

    • Required fees (custom)

  6. If you select optional add-ons or required fees, you'll see the option to name the fee. This name will display to your customer when they're purchasing the activity

  7. Save your changes

For New Activities:

If you're setting up a new activity, the process above will be used during step 3 of the scheduling process.


Fee Charging Details

Important details about how fees are charged:

  • Optional add-ons: Customers can choose whether or not to pay for that add-on

  • Required fees: Automatically charged once per order of an activity (not per child)

  • Extended services: Customers must select these during checkout if they need them; then required to pay if selected

💡For early drop-off, extended day, and after-school pickup, customers will be required to pay the fee if they select that add-on during checkout.

A required fee automatically charges every time someone signs up for a program. An optional add-on lets customers choose whether to pay the fee, giving them control over the charge. Required fees are simpler but charge repeatedly; optional add-ons are flexible but require customers to actively select them.

How do I handle registration fees if siblings are signing up?

It depends on which method you choose. With a required fee, each sibling is charged separately. With a custom fee or membership per order, there's typically one fee per order (not per sibling). Optional add-ons charge per sibling if they sign up for the same class. For family-level registration fees, memberships with family-based billing are usually the best option.

Can I charge a registration fee once per year instead of per class?

Yes. An optional add-on is ideal for once-per-year fees since customers select it only once during signup for multiple classes. You can also use a membership with annual billing to achieve the same result. Just make sure to communicate clearly to customers that it's a one-time annual charge.

What if customers don't pay the registration fee?

If you use an optional add-on, required fee, or flexible membership, some customers may not select or purchase it. Use an Add-on Report to track who paid, or use Quick Charge to manually apply the fee to accounts that missed it. If you use a members-only membership model, it's impossible for customers to sign up without paying first.

Yes. You can set different fees for different scheduled activities by adjusting the required fee, add-on amount, or membership price per program. However, if you use a global custom fee, it applies to all orders equally. Memberships can also be assigned to specific programs to control who accesses which classes.
