Using E-Signature Agreements

Create, manage, and track electronic signatures for waivers, releases, and agreements. Learn how to set up agreements, assign them to clients and participants, and view signed documents in customer profiles and rosters.

📝 Overview

The E-Signature Agreements feature allows you to create, manage, and track electronic signatures for waivers, releases, code of conduct, terms and conditions, medical releases, photo releases, and other agreements. Customers can sign agreements at checkout or anytime in their account, and you can view signature status, timestamps, and signed documents from client profiles and rosters.

🛠️ Setup & Configuration

  1. Log in to your account and go to Listings > Agreements

    • This is where you'll find a list of all your active agreements

    • Agreements include their created and/or updated dates and are listed in order of most recently created or updated

  2. Click on New Agreement to access the create agreement page

  3. Complete the Title, Format, and Text fields:

    • Title: Give your agreement a name that displays to customers (example: "Liability Waiver")

    • Format: Choose whether to enter text directly or upload a PDF

      • Enter text: Type agreement language directly in the text box

      • Upload PDF: Select a file from your device

        • File must be a PDF

        • Maximum size: 5 MB

        • Click Upload File to attach

  4. Answer the configuration questions:

    Who is this agreement for?

    • Client: Agreement assigned once per order to the account holder

    • Participant: Agreement assigned once per registered child or participant; specific to that individual

      • Note: If a customer is self-registering and you select "Participant," they will only be assigned the agreement if Client is also selected

    Is this required at checkout?

    • Yes: Customer cannot complete checkout without signing

    • No: Agreement is optional and can be accessed anytime in the customer's account via their Profile page (accessible when logged into hisawyer.com)

    Note: When you create an order on behalf of a customer using +New Order on the roster page, both required and optional agreements can be accessed and signed in the customer's account.

    What type of agreement is this?

    • General: Agreement applies to all activities

    • Activity Specific: Agreement only applies to specified activity or activities (select which activities apply)

    ⚠️ Current Limitation: Agreements can only be assigned to activities at this time. Memberships, parties, and packs are not yet supported.

  5. Click Save


📊 Managing Agreements

Once an agreement is created, you can edit, view, download, and archive:

  • Edit: Modify agreement details (Title, Format, Text) — but only before any signatures are collected

  • View/Download: Open the agreement in a new browser window to view, download, or print

  • Archive/Unarchive: Remove from future assignments while keeping existing signatures

After First Signature Collected

Once at least one signature has been collected, the agreement title, text, and uploaded file can no longer be edited. You'll see a lock icon and this message:

🧠 Example: You created a waiver and collected 10 signatures. You notice a typo. You cannot edit the existing agreement, but you can archive it and create a new one with the corrected text. Customers with unsigned agreements will receive the new version.

Archiving Agreements

When you archive an agreement:

  • It will no longer be assigned to customers when new orders are placed or participants are added

  • Unsigned archived agreements can still be completed and signed

  • Signed archived agreements remain viewable and downloadable in client profiles and customer accounts

At Checkout

Agreements appear nested under the provider forms dropdown alongside other form fields:

  • Agreements are displayed along with the activity or activities they apply to, or labeled as General Agreement

  • Agreements assigned to Client appear under purchaser information

  • Agreements assigned to Participant appear under participant-specific forms

  • Required agreements appear at the top of the list and have an asterisk (*)

Viewing & Signing an Agreement

When a customer clicks View & Sign:

  1. Page 1: The full agreement text or PDF displays

  2. Page 2: The Signature section where the customer:

    • Checks the box to consent to electronically sign

    • Types their full name

    • Date auto-populates

    • A cursive signature is generated from the typed name

  3. Customer clicks Agree & Submit to complete

After Signing

Once signed, the customer sees Completed next to the agreement and can click Next to continue checkout.

By clicking View, they can open and download or print the signed agreement.

If Agreement Is Already Signed

If a customer attempts to sign again (e.g., agreement open in multiple tabs), an error message displays:


In Customer Accounts (My Account)

Customers can access agreements anytime by logging into hisawyer.com and navigating to their Profile page (or child profile if the agreement is participant-specific).

  • Required and unsigned agreements appear at the top

  • Activities the agreements apply to are listed

  • Completion status is displayed

For Incomplete Agreements

  • A View & Sign button opens the signature modal

  • Customer completes signing same as checkout process

For Completed/Signed Agreements

  • A View button opens the signed agreement in a new tab

  • Customer can download or print the agreement


📋 Viewing Agreements in Client Profiles

An Agreements tab has been added to all client profile pages:

What You'll See:

  • All agreements assigned to the customer

  • Agreement status (unsigned/signed)

  • Typed signature name

  • Activity or activities the agreement applies to

  • Who the agreement applies to (Client/Participant)

  • Timestamp of signature

  • Download button to view/download signed agreements

⚠️ You do not have the ability to sign agreements on behalf of your customers. Customers must sign electronically themselves.


📍 Roster Integration

Agreement Status Labels

A new Agreements label may appear in red next to a participant's name on the roster:

This appears when:

  • A required agreement has not been signed

  • You've added the participant to a roster via Add Participant, +New Order, or a transfer

What to Do

Reach out to the customer and direct them to sign the agreement in their My Account (accessible at hisawyer.com).


📈 Reporting

Agreement data is available in the Rosters Report and includes:

  • Agreement Name

  • Signature Status

  • Typed Signature Name

  • Timestamp of Signature

Access this by downloading rosters from the Upcoming tab and then choosing the Roster page and selecting the report option.

Can I require agreements at checkout?

Yes. When creating an agreement, select "Is this required at checkout?" and choose Yes. Required agreements must be signed before checkout can be completed.

What happens to unsigned agreements if I archive them?

Click the arrow to view the answer

Unsigned archived agreements can still be completed and signed by customers. Customers can access them in their My Account until they sign or manually remove them.

Can a customer sign an agreement more than once?

If a customer attempts to sign an agreement that's already been signed (e.g., agreement open in multiple browser tabs), an error message will display. Each agreement can only be signed once per customer per assignment.

Can I edit an agreement after customers have signed?

No. Once at least one signature has been collected, the agreement title, text, and uploaded PDF can no longer be edited. If you need to make changes, archive the existing agreement and create a new one with the updated content.

Can I assign an agreement to memberships or packages?

No. Currently, agreements can only be assigned to activities. Memberships, parties, and packs are not yet supported.

Where do customers sign agreements if they don't purchase at checkout?

Optional (not required) agreements can be accessed anytime by customers logging into their My Account at hisawyer.com. They can also be signed when you create an order on their behalf using +New Order.

Can I sign agreements on behalf of customers?

No. Only customers can electronically sign their own agreements. You cannot sign on their behalf, but you can view all agreement status and signed documents from their client profile.

What file formats are supported for uploaded agreements?

PDF files only. Maximum file size is 5 MB.

Can I view the signature timestamp?

Yes. The signature timestamp appears in the client profile Agreements tab and in Roster Reports.

What happens if I need to delete an agreement?

Archive the agreement instead of deleting it. Archived agreements remain accessible to customers for viewing and downloading previously signed documents. All signature history is preserved.
