How to Create a Coupon

Coupon codes are a great option for managing promotions, scholarships, and different discount structures

📌 Overview

Coupons allow providers to offer discounts and promotional pricing to their customers at checkout. Whether you're running a seasonal promotion, offering a loyalty discount, or incentivizing new sign-ups, coupons are a flexible way to manage pricing and encourage enrollment.


Steps to Create a Coupon

This section outlines the steps that are needed to create a coupon from scratch.

  1. Navigate to Financials > Coupons

  2. Click New Coupon in the top right corner

  3. Give your coupon a Unique Code and edit the coupon restrictions

  4. Click Save

Helpful Definitions

  • Total Redemptions (Do not enter anything for unlimited) - Limits the number of times a coupon can be used in total, not just by a single customer. Example: "First 40 signups receive 10% off their order."

  • Max Per Customer (zero for unlimited) - Limits the number of times a single customer can use the coupon

  • Number of eligible items per order (zero for unlimited) - By default, coupons are applied once to each and every item in the cart. Example: if a coupon is 20%, it will take 20% off of each unique item; if a coupon is $20, it will take $20 off of each unique item. To apply the discount to only one item in the cart, you can enter a "1" in this box to limit the discount to one item. Note: adding multiple siblings to one scheduled activity still counts the scheduled activity as one item.

  • First time customers only - Limits the eligibility of this coupon code to customers who are not already in your Client List. Note: this applies once per email, not per student.

  • Apply to order instead of each item - By default, coupons are applied to each cart item. Selecting this option limits the discount to only apply to the order total instead of each item. Example: If you want to offer $5 off the total, you will want to select this option so that the coupon takes the discount off the total instead of taking $5 off of each item in the cart.

  • Minimum order total - Limits the eligibility of this coupon code to orders with a checkout total of at least this amount

  • Last Day to Use - Limits the eligibility of this coupon code to orders placed prior to this date. Example: early bird discounts. Note: coupons expire at 11:59 EST the night before the expiration date.

  • Eligibility Fields - Here, you can customize your coupon to work for specific activities, locations, booking types, and memberships


Additional Settings for Appointments Only

New Feature:
Now in the coupon editor there's an option for how the coupon should apply to recurring appointment payment plans. The discount can apply to all installments, or just the first.

  • All new coupons will default to the “Apply to all installments” setting

  • All existing coupons have been “backfilled” to the default setting that the coupon applies to each installment

Please Note:

  • This is only applicable to recurring appointments with payment plans.

  • This option will always show for providers, even if you do not have Appointments set up. Please disregard this setting if you don’t use the feature.

  • This setting does not impact discounting on any other items

Setting 1: “Apply to all installments”

Please Note:

  • This is the default setting

  • This setting is very similar to how coupons work with Semester or Camp payment plans.

The discount will be applied to the total and distributed proportionately across the installments.

Scenario:

$100/appt, 5 total bookings

Month 1 is $300, Month 2 is $200, total is $500 before discount

Example 1, percentage coupon:

  • Discount is 50% off all installments.

  • After discount: Month 1 is $150, Month 2 is $100, total is $250. (each amount is 50% off)

Example 2, fixed amount off:

  • Discount is $100 off

  • After discount: Month 1 is $240 ($60 off), Month 2 is $160 ($40 off), total is $400 ($100 off total)

  • Another way to think about it is that if you take $100 off $500 the total is $400. There are 5 appointment bookings, so the new per appointment price is $80


Setting 2: “Apply to first installment only”

Please Note: This setting is similar to how coupons work for Semesters Monthly pricing, where it only applies to the at checkout amount/first installment and the following months are full price

The discount will only apply to the first month, which is due at checkout. This is a great way to offer introductory discounts and promotions!

Scenario:

$100/appt, 5 total bookings

Month 1 is $300, Month 2 is $200, total is $500

Example 1, percentage coupon:

  • Discount is 50% off the first installment only.

  • After discount: Month 1 is $150(50% off), Month 2 is $200, total is $350 ($150 off total)

Example 2, fixed amount off:

  • Discount is $100 off the first installment only

  • After discount: Month 1 is $200 ($100 off), Month 2 is $200, total is $400 ($100 off)

  • If the value of the coupon is greater than the value of the first month, the extra value will not apply to the other months. If there are other cart items, the remainder of the coupon will apply to the other cart item(s)

On the order confirmation email, it will not note which type of coupon it is but it will display the coupon name and the discounted amount

This page will mirror the cart details, which notes which type of coupon was used



Steps to Edit a Coupon

This section outlines the steps to edit a coupon once one has already been created.

After a coupon code is created, it cannot be edited but it can be replaced with a coupon that uses the same code.

To change the restrictions for a particular promo code, mark the coupon inactive and create a new coupon with the same code.

  1. Click the Coupon Code you want to change

  2. At the bottom of the page, click Make Inactive and confirm

  3. Click +New Coupon

  4. Enter the coupon code you had previously and add the coupon restrictions

  5. Click Save

Important to know about coupons:

A customer is unable to apply a percentage coupon on an order that has a payment plan with an option add on or required fee. The coupon will not apply to the add ons.
