If you've just moved to Sawyer but had customers register through another system beforehand, you're not alone—many providers are in the same situation. The good news: migrating those registrations is straightforward once you know which path fits your needs.
This guide walks you through six scenarios based on your specific situation. Your choice depends on three simple factors: whether customers have already paid, whether they'll sign up themselves or you'll add them, and what billing type you're using. Find your scenario below and follow the steps.
One reminder: we recommend encouraging customers to create their own Sawyer accounts whenever possible. That way they can manage their profile, see real-time updates from you, and become familiar with the platform.
🎯 How to Choose Your Scenario
Ask yourself these three questions:
Have customers already paid? (Yes / No)
Will they sign up themselves or will you add them? (Self / You Add Them)
Is the class set up with monthly billing? (Yes / No)
Your combination of answers matches one of the six scenarios below. Find yours and follow the instructions.
💰 Scenario 1
Customers Paid + Self-Signup (Recommended)
This is the easiest path—customers have already paid, and they'll register themselves on Sawyer using a discount code.

Create a Coupon Code for 100% off. If you're worried about misuse, set limitations like Total Redemptions or Max Per Customer.
Compile a list of all customers who've already paid.
Send them the coupon code and a link to your Live View with instructions to sign up for the classes they've already purchased.
When they check out, the coupon applies and they pay nothing.
💡 Note on Monthly Billing: If your classes use monthly billing, the 100% off coupon only applies to the first month. Customers will need to enter their card information, and they'll be charged on the next billing date.
💳 Scenario 2
Customers Paid + You Add Them Manually
Choose this if customers have already paid but you'd rather add them to the system yourself.

Create a Coupon Code for 100% off (same as Scenario 1).
Go to Upcoming, find the class, and select it.
From the roster, click Place New Order and choose Add New Client. (Or search for them in your contact list if they're already there.)
Select the Booking Type.
Follow the prompts and make sure to apply the 100% off coupon code.
Check the box to send an email confirmation so customers know which email is registered with Sawyer.
Customers will receive the confirmation email. When they're ready, they'll go to the Sawyer login page and click Forgot Password to set up their account password.
💡 Note on Monthly Billing: The 100% off coupon only applies to the first month. Customers must add a card on file before the next billing date.
📅 Scenario 3
Monthly Billing + Customers Paid Current Month + Self-Signup
Use this if you have monthly billing, customers have paid for the current month, and they'll sign up on their own.

Create a Coupon Code for 100% off.
Compile a list of customers in this category.
Send them the coupon code and your Live View link with instructions to sign up.
Because the coupon only applies to the first month, they won't be charged at checkout. However, they'll still need to enter credit card information for the next billing cycle.
Customers will be charged on your next scheduled billing date using the card they entered.

Customers Unpaid + Self-Signup
This is simple—customers haven't paid yet and they'll register themselves using the normal flow.

Send customers a link to your Live View or the page on your website with the Sawyer widget.
They follow the normal registration process and pay at checkout.
🔧 Scenario 5
Customers Unpaid + You Add Them + One-Time Billing (No Monthly)
Choose this if customers haven't paid, you're adding them manually, and your classes are one-time (not monthly).

Create a Payment Plan for each class where you want to add students. Set it to a $0 deposit but customize the number of installments and dates. Click Save & Continue.
Set up a Custom Payment Method: Click your business name in the upper right, go to Settings, scroll to Custom Payment Method, and create one called "Transitioning to Sawyer" or similar. (This payment option is only for you, not customers.)
Go to Upcoming and select the class.
Click Place New Order and choose Add New Client (or search your contact list).
Select Booking Type and follow the prompts.
Choose the $0 deposit Payment Plan you created and the Custom Payment Method you set up.
Send an email confirmation so they know their registered email.
After you've added all customers, remove the Payment Plan from the class if you don't want new registrants to see it.
Customers now need to set up their Sawyer accounts. They'll go to the login page and click Forgot Password, set a password, add their credit card, and they'll be charged on the installment dates you specified.

Customers Unpaid + You Add Them + Monthly Billing
Use this if customers haven't paid, you're adding them manually, and your classes use monthly billing.

Create a Coupon Code for 100% off.
Go to Upcoming and select the class.
Click Place New Order and choose Add New Client (or search your contact list).
Select Monthly as the Booking Type.
Follow the prompts and apply the 100% off coupon code.
Send an email confirmation.
Customers will receive the confirmation email. They'll go to the Sawyer login page and click Forgot Password to set up their password.
They'll need to add their credit card information before the first monthly billing date. They'll be charged on that date.

What if a customer is already in my Sawyer contact list?

Perfect! When you go to place a new order and choose "Add New Client," you can search for them by name in the search bar instead of adding them as a new contact. This keeps everything organized.
Can customers change their email address after I add them?

Yes. They can update their email in their Sawyer account once they log in. Just make sure they know which email is registered so they can access their account.
What if customers forget their password?

They can click Forgot Password on the Sawyer login page anytime to reset it. You don't need to do anything.
Do I have to send email confirmations when I add customers?

You don't have to, but we recommend it. That way customers know exactly which email is registered with their account and can log in when they're ready.
What happens if I set up a Payment Plan but then don't use it?

You can delete it or leave it. If you leave it, customers registering for that class in the future will see it as an option. If you don't want that, just remove it after you've migrated everyone.
Can I undo a customer migration if I make a mistake?

If you accidentally added a customer to the wrong class, you can remove them from that class and add them to the correct one. Contact support if you need help undoing something.
