š Overview
Email is one of your most powerful tools for staying connected with customers and keeping them informed. Beyond the transactional and marketing emails Sawyer sends, you can leverage email management strategies to streamline communication, reduce manual work, and maximize engagement with your audience.
This guide covers both general best practices and Sawyer-specific strategies to help you make the most of your email communications.
š General Email Best Practices
Unlimited Email Addresses with Gmail Tricks
Most email services, including Gmail, allow you to use variations of your email address that all route to the same inbox. With Gmail and similar services, a plus (+) and any letter or number before the @ symbol will be ignored.
š§ For example, [email protected] and [email protected] will both arrive at [email protected].
Why this matters: This lets you create separate Sawyer accounts for testing or managing different business functions while still receiving all emails in one place. You can also use these variations to tag incoming emails so you know what they're about before opening them.
Use Email Filters for Organization
Email filters automatically sort your inbox without requiring you to review each message. This helps you focus on the emails that need immediate attention while organizing others for later review.
Why this matters: Duplicate order confirmation emails are helpful for reference but can clutter your inbox. Create filters in your email service to automatically archive, categorize, or forward these emails. You can also automatically route emails to team membersāfor example, forward all party-related emails to the person who manages parties.
šÆ Sawyer-Specific Strategies
Remind Customers to Re-Register
One of the most effective ways to maintain steady enrollment is to remind your existing customers to sign up for upcoming sessions. Many parents appreciate these reminders and are more likely to re-enroll than to discover you on their own.
To send a re-registration reminder using Custom Reports:
Go to Reports > Custom (https://www.hisawyer.com/portal/report_questions/list)
Click + New Report at the top right of the screen
Ask for a list of "Members" who have "attended these Schedules"
Select the schedule timeframe(s) you want to reach out about from the dropdown
Click Get My Report
Click Message at the top right of the screen
Compose and send your message to this group
For more details on this feature, see the How to Message Customers from Custom Reports guide.
Connect to Mailchimp or Constant Contact
Sawyer integrates with Mailchimp and Constant Contact to automatically add new customers to your mailing list. This keeps your email marketing platform in sync with your Sawyer registrations without manual entry.
For setup instructions and best practices, see Using your Mailchimp + Constant Contact Integration.
Automate Workflows with Zapier
Zapier is an integration platform that connects Sawyer to hundreds of other apps and services. You can automate workflows like sending notifications to Slack when a new registration occurs, adding customers to spreadsheets, or triggering custom emails.
