Learn how to explain the annual statements feature to your customers so they can access and download their year-end financial summaries.

Your customers now have the ability to download annual statements by provider, organized by calendar year. This feature complements the existing Orders page and provides customers with a consolidated view of all transactions and recurring payments within a single year.

While you cannot send statements directly to customers, you can direct them to access the Annual Statements section in their account, where they can review and download detailed year-end summaries for their records, accounting, or tax purposes.

Learn how your customers can locate and download their annual statements through two convenient pathways.

Customers can access the Annual Statements page in two ways:

Access Method 1: Account Navigation Menu

Customers logged into their account will see a link to Annual Statements. They'll need to click the profile icon followed by selecting My Profile.

Access Method 2: My Account Sidebar

Customers can also find a link to the Annual Statements page in the left-hand navigation of the My Account section.


Once customers click on Annual Statements, they will see a list of downloadable statements, grouped by year of purchase. They can select any year to view and download their statement as a PDF.

Learn what information is contained in the PDF report your customers will receive.

When customers click to download their annual statement, they receive a PDF report that includes the following sections:

Report Header Information

  • Report Date: The date on which the report was downloaded

  • From Section (Provider Information):

    • Provider name

    • Provider address

    • Provider phone number

    • Tax ID (if set up by the provider)

    Note: Any missing information will appear blank, which may affect formatting. If a tax ID is blank, the provider has not enabled the setting to share it with customers.

  • For Section (Customer Information):

    • Customer name

    • Customer address

    • Customer phone number


Transaction Details

The report includes a table of all transactions made during the calendar year, with the following columns:

  • Date

  • Order number

  • Student(s) name

  • Activity

  • Payment type

  • Payment amount (or refund amount if applicable)

Transactions are sorted chronologically from oldest to newest.


Report Summary

  • Annual Total: Shows the total amount paid or credited for the year

  • Report Footer: Includes provider name, phone number, and email address

    • The email used is the provider's reply-to email address, if set up

    • If no reply-to email is configured, the default is the email address on file for the provider account


What's Not Included

The report does not include:

  • All transactions combined across multiple providers (if the customer uses more than one provider)

  • Itemized payments or refunds by individual activity

  • Credits or adjustments outside the specified calendar year

Share this feature with your customers: Consider mentioning the annual statements feature in your year-end communications or customer emails. Customers often need documentation for accounting, tax planning, or FSA reimbursement purposes.

Review your setup: Ensure your provider information is complete in your account settings, including tax ID (if applicable) and reply-to email address. This information will appear on customer statements.

What if a customer's address or name is missing from their statement?

Why is my tax ID not appearing on the customer's statement?

The tax ID only appears on customer statements if you have enabled the setting to share it. Verify in your account settings that you have entered your tax ID and enabled sharing with customers.
