📝 Overview
You asked, we answered—new reporting dashboards are here! Our latest version allows you to activate and explore powerful embedded analytics and workbooks to gain key insights into your business performance. This is an exciting first phase in our ongoing data improvement plan, with additional features rolling out over time.
This feature is included in Grow and Scale pricing plans. It is not available in Launch plans. If you would like to upgrade your subscription plan or learn more about pricing tiers, visit here for more details.
If you went live prior to March 1, 2022, you continue to have access to your current features as a legacy provider.
What's new
Powerful data sets — Discover your top purchasers, create customer segments, summarize form field responses, analyze average client age, retention, and enrollment trends.
Explore with ease — Apply filters, drill down insights, sort, transform, and remove unwanted columns to get quick answers to important questions.
Improved reporting deliverability — Choose between direct downloads or schedule one-time or recurring exports in advance.
Customizable data sets and views — Explore high-level summaries or drill down into detailed insights. Save your favorite views for quick access.
🔑 How to Access Dashboards
To start exploring the new dashboards:
Go to My Account → Settings
Locate the Reporting Dashboards 2.0 toggle button and switch it on (you'll see a green checkmark)
Return to your Reporting page—the new dashboard experience will load
You'll see the new dashboard interface with various tabs to navigate through different insights. Corresponding workbooks appear in the bottom navigation toolbar.
Saving custom views
At the bottom right corner near the embedded workbook tabs, you'll notice a red Save As button. Use this to create customized views for easy access.
For example, if you commonly use specific filters, you can create unique dashboard views. When initially loading the page, you'll always see the default view, but you can access any saved views by clicking the file folder icon in the bottom left corner under My Documents to learn more about saving and accessing custom views, click here.
Important things to remember
Data refreshes automatically overnight. You'll see the data timeline at the top of each report (example: "Orders are up to date as of xx/xx/xxxx xx:xx:xx AM/PM Eastern Time").
These reports offer additional data insights not previously included, so there may be discrepancies when comparing metrics against legacy reports.
For security purposes, report sessions automatically time out after 30 minutes of inactivity. Simply refresh the page to reload the dashboard.
All current reporting options in the software continue to be available. No features will be removed without notice.

Workbook definitions
When you view each workbook, you'll see multiple columns of data and available filtering options. For detailed explanations of each column, view sample workbook data here.
Transactions Report — Contains fields from the current Transactions Report. Each row represents an individual transaction including checkout amounts, gift card redemptions, refunds, and subsequent payments from recurring payments or payment plans.
Order Summary Report — Displays aggregated totals by order rather than by transaction. Each row represents a unique order showing aggregate total amounts paid, unpaid, and refunded across all transactions.
Banking Hub — A comprehensive workbook with all-time summary and details about payouts and in-transit amounts. Includes both paid and in-transit payouts, with each payout broken down into its component transactions.
Net Revenue Deposited to Bank (summary of total net revenue amounts deposited to your account)
Payout Activity (summary totals included in each payout sorted by creation date)
Banking Report (matches the existing Banking Report but also includes in-transit deposit amounts)
Recurring Payments Hub — Contains summary and details about paid and unpaid planned payments (scheduled/recurring payments and payment plans). All-time data.
Recurring Payments by Bill Date (supporting table)
Recurring Payments Summary (supporting table)
Planned Payment Transactions (supporting table)
Customers with Past Due Payments (supporting table for non-cancelled payment plan bills where the bill date has passed but status is not paid)
📚 Enrollment Insights Dashboard
The Enrollment Insights Dashboards & Workbooks provide additional ways to understand enrollment, client retention, location enrollment and order data, and trial conversion trends for your business.
Dashboard visualizations
Enrollment Percentage — Displays total enrollment and available capacity as a % of overall total capacity for the selected data.
Enrollment Summary — Displays numerical values for enrolled spots, available spots remaining, and total capacity.
Schedule Performance — Shows values for:
Total Enrollments: Individual booked spots aggregated (example: 8 students enrolled across 10 weeks = 80 total enrollments)
Canceled Enrollments: Aggregates individual canceled or transferred enrollments
Unique Students Enrolled: Aggregates individual students to reflect a unique total
Student Retention — Displays a 5-year snapshot of unique count of students by booking cohort year. Retention measures whether a student made a first booking in the cohort year and then booked again in subsequent years.
Free Trial Performance — For businesses using Free Trial Pricing. If you don't use free trial pricing, this dashboard will have no data. A bar chart showing total count of trial students by month and year for all time. Also displays converted trial participants and the monthly conversion rate when you hover over a specific month.
Dashboard filters
The following options are available to filter enrollment dashboards and workbooks. You can use the search tool to find results within each dropdown menu and multi-select when applying filters:
Activity Instance Date — Individual date or instance of a scheduled activity (e.g., a single roster). Choose custom date ranges or pre-set options (day, month, quarter, year).
Schedule Type — Select Camp/Event or Semester schedules. Note: This release does not yet include Appointments.
Activity Name — Any active or archived activities.
Location Name — Any active or archived locations.
Schedule Name — Any active or archived schedules.

Workbook definitions
When you view each workbook, you'll see multiple columns of data and available filtering options. For detailed explanations of each column, view sample workbook data here.
Retention Analysis — Allows you to evaluate activities over certain periods, specific activities, or scheduled activities to compare customer retention. On an aggregate level, compare retention with a targeted customer list of those enrolled in the starting period and whether they registered in the follow-up period.
Note: As you drill down, you may see duplicative customer details in the Starting Cohort and Follow Up Cohort. This is normal—refer to the aggregated table above for accurate data.
Activity Enrollment Report — Contains fields from activity reports, but focuses on Activity Instance level rather than individual orders. Each row represents a day the activity is scheduled and includes enrollment (bookings), not order values. Drill down to see total capacity, enrollment, and waitlisted students.
Bookings Report — Contains fields from the current booking report. Each row represents a booked spot for a student in one activity session. (Example: A student booking a semester with 3 dates creates 3 bookings.)
Note: Bookings don't necessarily map to a charge or order. You can pull a New Student Report by scrolling to the "Is First Booking" column.
Waitlist Report — Contains fields from Waitlist Reports and provides additional insight into all waitlisted spots by Activity Instance.
Locations Report — Includes total orders and bookings by location with a map visualization to drill down by geographical area.
Note: The count of total orders for each location should not be summed to get your total unique order count, as an order can contain items across multiple locations.
👥 Customer Insights Dashboard
The Customer Insights Dashboards & Workbooks offer a deep dive into customer growth, student age distribution, top purchasers, and form field responses collected during registration.
Dashboard visualizations
Total Active Purchasers — Displays a count of total active purchasers for the selected timeframe. Purchasers are defined as any adult customers with a transaction (free or paid) in the selected period.
Customer Growth — Displays a rolling count of client profiles (both adult and child) grouped by the month they initially created a profile with you. Each line shows:
Gross Customer Count: Rolling total of created accounts (adds new clients to the previous day's total)
Gross Converted Customer Count: Rolling total of purchasers (clients with a non-zero transaction value) with a % of total converted customers
Customer Value — Displays customer name and email with values for:
Total Orders: Total count of orders
Total Transactions: Total count of transactions
Total Spend: Total sum of transaction amounts paid
Average Spend per Transaction: Average value of transaction amounts paid
Student Age Distribution — Displays total count of students (child profiles) by age for all time. Ages are rounded to the nearest whole number based on the provided birthday.

Customers Report — Contains fields from existing client reports and provides information about a customer profile.
Child Report — Contains fields from existing child reports and provides information about a child profile.
Note: A child-customer pair doesn't necessarily represent a parent/child relationship, but rather that the customer scheduled a class for the child. An individual child may appear multiple times if different parents have accounts.
Form Fields Hub — Contains fields from client, child, and registration reports. Provides insights into all questions and individual responses to form fields and profile fields.
Form Responses (supporting table)
Form Responses Aggregate (supporting table—shows high-level summary data for responses to form field questions, including total response counts and aggregated values for unique open-ended responses)
