If you are a provider who went live prior to March 1, 2022, you will continue to have access to your current features as one of our legacy providers.
Every business wants to provide flexibility for families while also mitigating cancellations and refunds. During extenuating circumstances or when you're beyond a refund period, you may want to offer an account credit to a customer in lieu of a refund.
We have released a feature, Add to Balance (beta) that allows you to issue an account credit to a customer through our existing Gift Card functionality. This feature allows you to add a balance or "credit" to a customer's account as if they had redeemed a gift card and lets you or the customer use the available balance to make purchases on their account (also just like a gift card.)
The next time you need to issue a refund, consider issuing an account credit instead. Think of it like "store credit." Issuing an account credit allows you or the customer to apply this amount towards any future purchases until it's used up.
How to Add to Balance to Customer Account:
- Go to Contacts > search a specific customer name and click to open their client profile
- Toggle to Gift Card Balance located on the top right of the adult profile
- Press the +Add to Balance button
- Type the $Amount in the box and add any internal notes for future reference
- Verify in the confirmation screen and press Confirm Amount. This will send an email to the customer confirming the balance added. (If you need to go back to the previous screen, press Cancel.)
- You'll now see the credit value appear under Available Balance.
How to Remove Balance from Customer Account:
- Go to Contacts > search a specific customer name and click to open their client profile
- Toggle to Gift Card Balance located on the top right of the account menu
- Press the +Remove from Balance button
- Type the $Amount you want to remove from the available balance in the box and add any internal notes for future reference. Please note: you can only remove a value that is equal to or lesser than the amount that you added as account credit. If the customer's available balance also includes money from a gift card redemption, you cannot remove that portion of their available balance.
- Verify in the confirmation screen and press Confirm Amount. This will not send an email to the customer confirming the balance added. (If you need to make a change press Cancel.)
- You'll now see the adjusted credit amount under Available Balance.
Balance Activity View
The Balance Activity view appears on a customer's account profile under Gift Card Balance. This will list all balance activity whether added or removed. This view shows the following fields.
- Date Added or Removed
- Description and Added By
- Amount Redeemed
- Click the three dot menu to view notes.
