âď¸ Manage Installments
Learn how to change, cancel, and refund installments on a customerâs order.
You can manage installments from the customerâs original order, using the options below the Monthly Billing or Payment Plan Schedule section.
đ§ Adjust a Payment Plan
Go to Pricing, then select Full Semester Pricing.
Click Edit on the relevant payment plan.
Adjust the scheduled installment dates as needed.
Once youâre in the payment plan, you can:
Change Date: Move an installmentâs charge date to a future date.
Change Amount: Change the amount of an installment.
Cancel: Cancel a scheduled payment.
Refund: Create a partial or full refund for the customer. The Refund button appears to the right of each payment in the Payment Activity section.
đĄ Changes are saved as soon as you make them. These options are useful for discounting a future installment, issuing a credit, or handling a customer who has unenrolled from the program.
â ď¸ If class dates change after customers have booked, their payment plans wonât update automatically. Check the installment dates and adjust them as needed.
đ Cancel Upcoming Payments
Learn how to cancel all future installments on an order at once.
You can cancel all upcoming payments on an order with one action. This option is available for payment plan orders for Semesters, Camps, and Weekly Camps, and for monthly billing. It is not available for membership payments.
On an order with future installments, select Cancel Upcoming Payments on the right side of the page.
Review the confirmation screen, which lists the date of the first installment to be canceled, the student, and the activity.
Confirm the cancellation.
â ď¸ Once you confirm, this action canât be undone. All scheduled future installments will be canceled and will display as canceled, just as if you had canceled each one individually. Payments that have already been made are not affected.
Multiple payment plans in one order
If an order contains multiple children or payment plans, you can cancel each payment schedule individually.
đ§ Using the screenshot examples above, you can cancel My Childâs payments without canceling My Babyâs payments.
Things to know
Once all installments have been canceled or no future payments are due, the Cancel Upcoming Payments button no longer appears.
For payment plan orders, the order status changes from Balance Due to Paid, and the remaining balance changes to $0. Monthly billing orders already show a status of Paid.
For monthly billing, the date the action was taken is noted for each installment.
đ ď¸ Charge a Payment Manually
If payments for updated class dates have not been collected, you can manually charge the customer for the new month.
Go to Financials, then select Order.
Select the customerâs order.
Use Receive Payment to charge the amount as needed.
đĄ Receive Payment does not create a new, separate order, and it does not send a confirmation email to the customer. You can charge the card on file or accept a custom payment method.
