📝 Overview
Class packs let customers purchase bundles of drop-in classes at a discounted rate. Instead of paying per class, they buy spots upfront and use them as they register for eligible activities. Packs are flexible—you can set expiration dates, apply them to specific classes, and even offer them at different price points.
Customers purchase packs either through a dedicated Packs tab on your widget or directly while registering for an eligible class. When they use a pack spot, it automatically deducts from their account and covers the drop-in cost. You can also manually add or charge packs through the Quick Charge feature.

In your Sawyer account, click Products
Click Packs
On the right side, enter the following information:
Pack name (e.g., "10-Class Drop-In Bundle")
Description (optional but helpful for customers)
Number of classes included in the pack
Price for the pack
Expiration date (optional)
Specific activities the pack applies to (optional)
Click Create Pack. Once created, customers can purchase packs while registering for an eligible activity. If you'd like a dedicated Packs tab on your widget, reach out to [email protected].
⚠️ Pack spots only apply to drop-in pricing. Make sure the activities you want to use packs for have drop-in pricing enabled.
⚙️ Configuring Pack Applicability

Navigate to Products > Packs and click on the pack you created
In the pack settings, specify which activities the pack covers
If needed, exclude specific activities where the pack shouldn't apply (for example, exclude camps but include regular classes)
Once configured, when customers register for an applicable activity, the pack spot automatically deducts. If a pack is incorrectly applied to a class, review the pack settings to verify the correct activities are included or excluded.
💳 How to Quick Charge a Pack

Steps:
Open your Sawyer Portal
Go to Contacts and search for the customer
Click Charge Client
Click Quick Charge
Use the dropdown next to Select Item and choose Packs
Select the pack from the list. You have the option to adjust the price if needed.
Enter credit card information if it's not already defaulting to the card on file (not needed if adding packs for free)
Check Send order confirmation to client so they're notified of the purchase
Complete the charge
💡 You can set the price to $0 to add pack spots to a customer's account without charging them. This is useful for promotions, adjustments, or goodwill gestures.
Best Practices:
Always verify the amount before confirming to avoid billing errors
Keep the order confirmation option enabled unless there's a specific reason not to
For free pack additions, leave the price at $0 and skip the credit card entry

Steps
Navigate to Products and then choose Packs
Click on the pack name (shown in red)
At a glance, you'll see:
All customers who purchased the pack
How many spots each customer has remaining
Click on an Order Number (in red) to view specific customer details
How Packs Work in Orders:
When customers register using a pack spot, the cost is automatically deducted from their balance
The order line item won't show a dollar amount for that class—the pack covers it
If you manually add a student using New Order and they have an eligible pack, the spot deducts automatically
If you cancel an order or remove a student from a class, the pack spot is refunded back to their account
Customer View:
Customers can see their remaining pack spots in their Sawyer account at any time. They can also view their pack history and current packs in the Packs tab (if enabled on your widget).

Yes. When configuring your pack settings, you can specify which activities are included and which are excluded. For example, you might create a pack that covers regular classes but excludes camps or special workshops.
What if a customer runs out of pack spots?

Once a customer uses all their pack spots, they'll need to purchase another pack or pay the regular drop-in rate for future classes. You'll get notified when their pack is expiring or has been fully used (if applicable).

You can use Quick Charge to manually charge different amounts. Create the pack at your standard price, then use Quick Charge to adjust the amount for individual customers when needed.

Pack purchases appear as orders. When a customer uses a pack spot for a class, the class is registered under their account, but the transaction shows as covered by their pack rather than a separate charge.
Can customers purchase packs on the Sawyer Marketplace?

No. Pack purchases are only available on your provider widget or through the Packs tab (if enabled). Marketplace registrations use standard pricing.
What happens if a pack expires before all spots are used?

Once a pack expires, customers can no longer use remaining spots. We recommend notifying customers about upcoming expiration dates so they can use their spots in time. You can also extend or adjust packs on a case-by-case basis using Quick Charge.
