Configure Roster Settings & Labels

Learn how to customize what information displays on your rosters and organize students with labels to keep your rosters clean and organized.

📝 Overview

Roster settings and labels help you control how your rosters look and function. Settings let you choose what student information appears on each roster globally, while labels help you categorize and quickly identify students by their enrollment type. Both are configured from your Upcoming section and apply to how you manage day-to-day operations.

Access Roster Settings

  1. Go to Upcoming and click into any class

  2. Click Roster Actions or the More Options Menu [...] at the top of the roster

  3. Select Roster Settings. Choose the information you'd like to display on the roster (student names, contact information, form responses, etc.)

  4. Click Save

💡 Global Setting: Any changes made in Roster Settings apply to all rosters across your account, not just the current class. This ensures consistency across all your rosters.

Customize Question Nicknames

If you have long form questions (like waiver language or detailed intake questions), use nicknames to shorten them on your roster display.

🧠 Example: Instead of displaying "I hereby agree to the full waiver of liability for all activities," you can create a nickname like "Waiver Signed" to keep your roster cleaner.

Choose Your Attendance Method

By default, attendance is tracked by marking students as Absent or Present. If you prefer to track drop-off and pickup information, you can switch to the Check In / Check Out method.

Attendance Type: Simple absent/present tracking

Check In / Check Out Type: Records

  • Time student checked in

  • Person who checked them in

  • Time student checked out

  • Person who checked them out

  • Optional notes for each check-in/check-out

🏷️ Understanding Roster Labels

Labels appear next to student names on your roster and help you quickly identify their enrollment status or type.

  • Identify first-time students so you can give them extra attention or welcome materials

  • See who's registered for the full session vs. trying a drop-in class

  • Spot registration patterns and plan accordingly

Full Session

Displays on the Booked, Waitlisted, Canceled tabs when a student is registered for the entire semester or camp.

Drop-in

Displays on the Booked, Waitlisted, Canceled tabs when a student is registered as a drop-in.

New to Activity

Displays on the Booked, Waitlisted, Canceled tabs when a student is added to a new activity they were never added to before.

New Student

Displays on the Booked tab when a student has made a first-time booking with a provider. The label will be visible next to the student's name for the entire semester or camp.

Pack

Displays on the Booked tab when a student has booked that instance with a pack spot. If a student is canceled from a class, the pack label should no longer appear by the student name.

Allergy

Displays on the Booked and Waitlisted tab when a student has an allergy. This tag will not display if words like "none", "na", "n/a" are entered into this field.

Birthday

Displays on the Booked and Waitlisted tabs when a student has a birthday within a +/- 7 day range.

New Transfer

Displays on the Booked tab when a student was transferred into the class. It should only show on the first day if the student was transferred for multiple instances at one time. Also displays if a student is rebooked into the class from the Canceled tab.

Free Trial

Displays on the Booked tab when a student has signed up via the Free Trial booking.

Agreements

Displays on the Booked tab when a student has an unsigned required agreement associated with their profile.

Makeup

It appears on the booked and Cancelled tabs when the booking is a makeup booking.
