Learn where and how to make edits across all sections of Sawyer, from activity listings to products and billing settings.

📝 Overview

Learn where to make edits throughout Sawyer for all your activities, schedules, locations, instructors, pricing, and products. As a general rule, look for a pencil icon or a three-dot menu icon to access edit options.


📋 Listings

Listings are the building blocks of your programs. Edits you make here will affect the corresponding scheduled activities. Edit the following details in your Listings:

Basic Activity Details

Edit the activity name, color, photo, description, age range, and format (in-person or online).

Form Fields

Configure Profile Fields and Custom Fields that you want customers to complete at checkout.

Locations

Update the address and helpful information for program locations.

Instructors

Edit instructor bios, photos, email addresses, and other details.

Cancellation Policies

Create and edit cancellation policies here, then assign them to scheduled activities in Schedules.


📅 Schedules

The Schedules section is where you configure the exact details customers see on the Marketplace and in your widget. Information you set up in Listings pulls in here automatically. For detailed setup guidance, see our Help Center article.

Semester or Camp/Event Timeframe

Edit the timeframe name, dates, and holidays. Click on the timeframe, select Semester or Camp from the actions menu, then select Edit. These changes apply to all scheduled activities in the timeframe unless they have overridden dates.

Scheduled Activity Details

Edit the day of week, times, capacity, and widget tags. Click the pencil icon next to the activity name.

Scheduled Activity Pricing

Click the pencil icon next to the pricing information to update pricing for a scheduled activity.

Add-ons and Sibling Discounts

Edit activity-specific add-ons and sibling discounts by clicking the pencil icon next to Add-ons.

Editing Schedules with Existing Bookings

If you've already started taking registrations and need to edit dates, day of week, or times, you cannot do this in the Schedules tab. Instead, see our Help Center article on updating schedules with bookings.

Editing Individual Class Days

To edit only one day of a scheduled activity, edit the instance by going to the roster through the Upcoming tab, then click the three-dot icon in the upper right corner and select Edit Instance.


💰 Financials

Manage coupons and discounts that apply to your programs.

Coupons

Create and manage coupon codes. Important: Coupon codes cannot be edited after creation. If you need to make changes, deactivate the existing code and create a new one with the same code but updated parameters. If you need additional help, read our help center article here: How to Create a Coupon

Automatic Discounts

Edit the discount configuration and reorder discount priority if you have multiple discounts set up.


📦 Products

Edit and manage packages, parties, field trips, private events, and memberships.

Class Packs

Edit the pack details and which activities it applies to. Click on the pack you want to edit. If you change which activities the pack applies to, check the box to apply those updates to packs that have already been purchased.

Parties, Field Trips, and Private Events

Edit any party package, field trip, or private event at any time.

⚠️ This is only available in only available in Grow and Scale plans. Contact support if you'd like to learn more about upgrading your plan.

Memberships

Click on Plans to view and edit your membership plans. You can edit a purchased membership's name, description, and cancellation policy—updates will appear across the provider portal, client portal, and widget views. Important: You cannot edit pricing or perks after a membership has been purchased.

Can I edit a coupon code after I've created it?

No. Coupon codes cannot be edited. If you need to make changes, deactivate the existing code and create a new one with the same code but with the new parameters.

Can I edit membership pricing after someone has purchased a membership?

No. You can edit the membership name, description, and cancellation policy after purchase, but pricing and perks are locked and cannot be changed.

What's the difference between editing in Listings versus Schedules?

Listings contain the baseline information about your activities (name, photo, description, etc.). Edits in Listings affect all scheduled versions of that activity. Schedules let you set specific details for each instance—like dates, times, pricing, and capacity—that customers see on your Marketplace and widget.

Why can't I edit the date or time of a scheduled activity that already has bookings?

Changing dates or times of activities with existing registrations could cause scheduling conflicts. Instead, use the dedicated workflow for updating schedules with bookings.

Where do I find the edit options? What icons should I look for?

Look for a pencil icon (to edit specific fields) or a three-dot menu icon (to access more options like Edit Instance). The exact location varies depending on what you're editing, but these icons appear next to the items you want to change.

Are all editing features available on my plan?

Most features are available on all plans. However, some advanced features like Parties, Field Trips, Private Events, and Memberships are only available in Grow and Scale plans. Check the asterisks (*) throughout this guide to see which features require a higher plan level.
