If you are a provider who went live prior to March 1, 2022, you will continue to have access to your current features as one of our legacy providers.
Free Trials
Free trials are a great way to acquire new customers and introduce clients to your activities. You can offer free trials for Semester activities and Camps/Events. Providers select which activities to offer free trials for at the activity level.
When a parent books a free trial, they will receive an automatic email one hour after their trial class ends encouraging them to book another class with your business. This automatic email can be turned on and off in your Account Settings.
How to add free trials to a scheduled activity
Adding free trials to a scheduled activity is simple!
- Navigate to Schedules
- Create or click into a scheduled activity
- Navigate to the Pricing section
- Find Activity Promotions
- Toggle on Free Trial Offer to green
- Press Save
Once you toggle on the free trial offer to green, impacted activities will display a “Free Trial Offer” label on your widget. This label will not appear on the Sawyer Marketplace. You can preview this view by clicking into an activity’s live link through your provider portal.
How to activate/deactivate the automatic free trial follow up email

- Navigate to My Account Menu
- Click into Settings
- Find Free Trial Follow Up Email
- Toggle to green to enable this email
- Toggle to gray to disable this email
Your provider portal will automatically save the toggle’s status.

The free trial report
This report includes information for all students who have registered for a Free Trial Offer including:
- Activity Name
- Order Number
- Trial Date
- Time
- Date
- Location
- Instructor Name
- Attendee Name
- Parent Name
- Parent Email
- Converted
- Second Order Date
- Time to Conversion
How to access the free trial report
The free trial report is a registration report that can be accessed from two different places in your provider portal.
From the roster
This report will give you free trial data for a specific activity.
- Navigate to Upcoming
- Select into a scheduled activity’s roster
- Click into the three-dot mini menu on the right-hand side of the roster
- Select Download Reports
- Find Free Trial Report and export by clicking the download button
- You’ll receive an email with this report shortly!
From the Semesters page
This report will give you free trial data across a specific semester.
- Navigate to Schedules
- Select Export
- Find Free Trial Report and export by clicking the download button
- You’ll receive an email with this report shortly
How to give an extra free trial to a student
Parents cannot book a child in more than one free trial, but a provider can override this rule on behalf of a client.
If a student has already taken one free trial with your business and you would like to give them access to an additional free trial, you can do so by using the + New Order button. There is no limit to how many times you can book a trial on behalf of a client.
- Navigate to Upcoming
- Select a scheduled activity
- Click into the + New Order button in the upper right-hand corner
- Select Child to enroll
- Select Free Trial Offer
- Enter the Date of the free trial
- Select Email Confirmation
- Add any relevant Order Notes
- Press Place Order
