What is dynamic location capacity?
Dynamic location capacity allows you to set a master capacity for all activities at a single location. This allows you to seamlessly manage your registrations across activities without exceeding the given capacity at your location for the day.
Why would my business need this feature?
If you want to maximize the earning potential of a given location across multiple activities but have a hard cap within the physical space, this allows you to set it and forget it.
Additionally, if you have a fire code or contractual restriction, you no longer have to do the heavy lifting. Sawyer will automatically check total registrations across activities for a given day and update for a single location.
Does location by capacity use “time” as a consideration?
At this time, location capacity does not use the timing of activities to restrict capacity. In other words, the capacity you set for a location is the total for the entire day, not just for a given time slot.
For example, let's say you have a morning activity with a capacity of 10, an afternoon activity with a capacity of 20, and a location capacity of 15. If the morning sells out right away, you would only be able to sell 5 spots for the afternoon, even if the times don't overlap at all.
How can I customize my location capacity?
If your capacity varies week to week, you can specify dates where your location capacity changes. For example, if your capacity for the first week in June is lower than usual due to unforeseen circumstances or instructor availability, you can set a separate capacity value for that specific week.
Can I customize my location capacity per day?
The location capacity feature is only able to be set per week, and currently, it cannot be set for daily capacity changes.
Can I change location capacity if things change?
Yes, if your location capacity ever changes, simply update the value and/or the relevant dates and the location capacity restriction will update immediately.
How does this work with my activity capacity?
Location capacity works in conjunction with activity capacity.
For example, if two activities are both scheduled for the same day and both have a capacity of 10, the location can sell 20 spots total. However, if you set a location capacity of 12 and the first activity sells 10 spots right away, the second activity can only sell two more spots.
What do parents see when I add capacity by location?
The experience for parents has not changed, they will not see the total possible location capacity and will only be prevented from overbooking a given location.
How does location capacity work when I transfer students?
As a provider, you are able to transfer a student into an overbooked location.
