Learn how to edit enrollments, adjust attendance for specific days, and remove students from your rosters.

Common Enrollment Tasks

You can perform three main tasks directly from the roster:

  • Edit enrollment — Change a student’s activity or adjust which days they attend

  • Adjust attendance for specific days — Update a student’s schedule when they need to attend only certain days per week

  • Remove a student — Remove a student from today only or from today and all future dates

Important notes:

  • These actions do not automatically transfer add-ons to the new activity

  • The customer will receive a notification when enrollment is edited

  • Transfers and removals do not affect existing payments or create refunds

  7. The confirmation page displays all updates being made

  8. Mark the checkbox "Send an email confirmation the client" if you want to send a copy to your customer.

🔧 Adjust a Student’s Attendance for Specific Days

If a student needs to attend only certain days per week (rather than the full schedule), you have two options to update their enrollment.

1️⃣ Using Enrollment Transfer

Click here to learn you to adjust student enrollment using the enrollment transfer feature

  1. Navigate to the roster for the student’s current enrollment

  2. Click the three dots next to the student’s name and select Edit Enrollment

  3. In the Select Target Activity dropdown, choose the activity with the specific days they should attend (for example, Mon/Wed/Fri sessions if the original was every-day attendance)

  4. Select only the days the student should attend

  5. Choose the Select Start Date for when this change takes effect

  6. Click Continue, review the changes, and click Confirm

The roster automatically updates to reflect only the selected days, and no refund is necessary if you keep the original payment as-is.

2️⃣ Temporary Booking Rule Adjustment

Use this method if day-specific session options are not available or if you need more flexibility.

Step 1: Temporarily update booking rules

  1. Navigate to your Semesters page in your Sawyer dashboard

  2. Locate the scheduled activity where the student is enrolled

  3. Click the three dots next to the activity and select Edit Scheduled Activity

  4. Find the Days of the Week section and update the booking rules to allow clients to select specific days

  5. Save the changes

Step 2: Perform the transfer

  1. Go to the roster and select the student

  2. Click Edit Enrollment and choose the same activity from the dropdown (now with flexible day selection)

  3. In the transfer editor, select only the specific days the student should attend

  4. Set the date when changes should take effect

  5. Complete the transfer

Step 3: Revert booking rules

  1. Navigate back to the Semesters page

  2. Click the three dots next to the activity and select Edit Scheduled Activity

  3. Reconfigure the Days of the Week booking rules to their original state (for example, requiring attendance for all weekdays)

  4. Save your changes

Best Practices

  • Plan ahead - Ensure any changes align with your program’s structure and keep families informed about booking rule changes or attendance updates

  • Avoid refund complications - Both methods eliminate the need to process refunds, simplifying financial adjustments

  • Test your adjustments - Always review the updated roster to confirm changes were applied correctly

❓ Frequently Asked Questions (FAQs)

Find answers to common questions or additional details that may not be covered in the main instructions.

How do add-ons work when I edit a student’s enrollment?

Click the arrow to view the answer

Add-ons are not automatically transferred when you edit or transfer a student’s enrollment. If the student needs an add-on for their new activity, you’ll need to add it separately in the system.

Will editing a student’s enrollment charge or refund their payment?

Click the arrow to view the answer

No. Transfers and enrollment edits do not affect existing payments or create refunds. The original payment remains applied to the modified schedule.

Will the customer be notified when I edit a student’s enrollment?

Click the arrow to view the answer

Yes. An automatic email notification is sent to the customer whenever you edit a student’s enrollment. For single-day transfers, the email includes the original activity and the new activity with their respective dates. For multi-day transfers or day changes, the email shows the original activity details alongside the new activity details.

Can I change the start date for when an enrollment change takes effect?

Click the arrow to view the answer

Yes. When you edit enrollment, you can choose any start date within the date range of the original activity. All bookings before the new start date remain unchanged, and only future bookings are affected by the change.

What if the student is already enrolled in the target activity?

Click the arrow to view the answer

If you select a target activity where the student is already booked, an informational alert will appear. This will not prevent you from completing the transfer—it’s there to help you avoid unintended duplicates.

Can I adjust a student’s attendance for multiple programs at once?

Click the arrow to view the answer

No. Enrollment edits must be made individually for each activity. If a student is enrolled in multiple programs and needs adjustments for each, you’ll need to edit their enrollment separately for each one.

What if I need to update attendance days frequently?

Click the arrow to view the answer

If attendance changes happen regularly, consider setting up the activity with flexible day-selection options during initial setup so customers can adjust their own bookings. Alternatively, you can use the temporary booking rule adjustment method (Option 2) to allow greater flexibility without repeated manual edits.

Will editing a student’s enrollment affect their attendance history?

Click the arrow to view the answer

No. Attendance records for dates before the change start date are preserved on the original roster. Only future attendance is tracked on the new or updated enrollment.
